We build AI agents that book, answer, and sell 24/7 directly in your WhatsApp Business App. This policy explains how we collect, use, disclose, and safeguard information when you visit our website, create a workspace, or interact with Sawabot agents over WhatsApp.

  • Message with a Sawabot agent in WhatsApp

  • WhatsApp phone numbers and profile names
  • Conversation content necessary to fulfill the request (e.g., booking details, FAQs, lead info)
  • Workspace and business information you configure (hours, services, pricing)
  • Connected integration data you authorize (e.g., calendar/CRM identifiers)

Automatically Collected Information

When you use our services, we automatically collect certain information, including:

  • WhatsApp message metadata (sender, timestamps, delivery status)
  • Usage events (actions taken by the agent and by users)
  • Device and browser information for the dashboard

How We Use Your Information

We use the information we collect to:
  • Process and manage bookings, sales, and support conversations
  • Send confirmations, reminders, and follow-ups via WhatsApp
  • Operate, maintain, and improve Sawabot and our AI agents

With Business Partners

We share only the details required to fulfill the request (e.g., appointment details, lead info, order info) with the business you are interacting with.

Service Providers

We use trusted subprocessors to run Sawabot, including:

  • WhatsApp/Meta for messaging transport
  • Google for calendar integration
  • Cloud hosting and database providers
  • Analytics and error monitoring
  • AI infrastructure used to process messages

Legal Requirements

We may disclose information if required by law or in response to valid legal requests.

Google API Services User Data

Sawabot's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Google Calendar

We access Google Calendar data solely to:

  • Check availability for appointment booking
  • Create, update, or cancel calendar events on your behalf
  • Sync appointment information between Sawabot and your calendar

Google Drive

We access Google Drive data solely to:

  • Read documents you explicitly select to add to your knowledge base
  • Extract content from selected files to enable your AI agent to answer customer questions

We only access files you explicitly authorize. We do not scan, index, or access any files beyond those you select.

Google Sheets

We access Google Sheets data solely to:

  • Sync contact and lead information between Sawabot and your designated spreadsheet
  • Read existing contact data from sheets you connect
  • Write new leads and contact updates captured by your AI agent

We only access spreadsheets you explicitly connect. We do not access any other spreadsheets in your account.

Limited Use Disclosure

Sawabot only uses Google user data to provide and improve the integration features described above. We do not use Google user data for:

  • Advertising, retargeting, personalized, or interest-based advertising
  • Selling or transferring data to third parties, data brokers, or resellers
  • Determining credit-worthiness or for lending purposes
  • Any purpose unrelated to providing or improving the integration functionality

Data is only transferred when necessary to provide the service, for security investigations, to comply with legal requirements, or with user consent. Google data is accessed in real-time and is not permanently stored beyond what is necessary for the integration to function.

Data Security

We implement appropriate technical and organizational measures, including encryption in transit and at rest where applicable, access controls, and auditing. OAuth credentials for third-party integrations are encrypted using AES-256 encryption. However, no method of transmission over the internet or electronic storage is 100% secure.

Data Retention

We retain information for as long as necessary to provide the services and for legitimate business or legal purposes. Google Calendar data is accessed in real-time and not permanently stored beyond what is necessary for sync operations. You may request deletion of your data as described below.
